Job Summary

Provides scheduling functions for the clinic/Residency including but not limited to clinic physician office schedules, call schedules, and wards schedules for Residents and Faculty, rotation schedules for Residents and Nursing Home Visit Schedules for Residents. Facilitate daily provider templates.

Accountabilities

  • Creates clinic schedule for all residents on a block by block basis ensuring that all requirements are met such as nursing home sessions, home visit sessions, correct duty hours, etc.\u00A0 Creates slots during each block for walk in appointments and hospital follow up appointments based on number of residents in clinic and the rotations available for the block. - 40%
  • Coordinates with Program Director at the beginning of every residency year to ensure that a block schedule is created meeting all requirements for residents and the needs of the clinic. - 5%
  • Coordinates with all residency rotations to ensure that a schedule is agreed upon that will best suit both rotation and clinic. - 5%
  • Coordinates with geriatric program to ensure that nursing home schedule is correct and all requirements are met. - 5%
  • Creates, maintains, and revises all provider templates.
  • Maintains all yearly schedule spreadsheets for reporting and accuracy
  • Registers all new physicians/providers for EHR training and current physicians for continued education training along with daily EHR support for all staff. - 5%
  • Function as the resident expert on the EMR system as well as having working knowledge of Epic and other pertinent Prisma Health systems. Develop creative uses of existing technology or find ways to expand the use of technology in existing areas.\u00A0 Works with physicians/providers to learn what enhancements are needed and how to use product effectively and efficiently. Facilities requests for user securities in coordination with practice management staff.\u00A0\u00A0 Provides training on EMR updates or refresher course as deemed necessary .Maintains practice computer equipment inventory. Maintains working knowledge of equipment in use throughout facility, including tracking equipment out for repair. Updates inventory annually and performs equipment audits quarterly & at the beginning of each academic year. - 15%

  • Maintains all PTO requests and ensure adequate coverage in clinic. - 5%
  • Creates and maintains Faculty Provider Calendar and coordinates Faculty Clinic, Academic, and Teaching time to best fit needs of the clinic. - 10%

Supervisory/Management Responsibilities

This is a non-management job that report to a supervisor, manager, director or executive.

Minimum Requirements

Education - Bachelor's degree in Business or Healthcare

Experience - 2 years - experience in a clinic/residency or physician practice

Required Certifications/Registrations/Licenses

n/a

In Lieu Of The Minimum Requirements Listed Above

High School Diploma and 5 years experience in a clinic/registry or physician practice; or

Associate's Degree and 3 years of experience in a physicians office/clinic; or

Master's Degree and 1 year of experience in a physicians office/clinic.

      Other Required Skills and Experience
      • Working knowledge of Epic preferred
      • Adaptability/Flexibility
      • Basic computer skills
      • Knowledge of office equipment
      • Proficient computer skills (word processing, spreadsheets, database)
      • Mathematical skills
