We are seeking an experienced, meticulous Senior Executive Assistant to provide high-level support to our executive leadership teams. As a member of our Administrative Services Team, the Senior Executive Assistant is responsible for providing a broad range of executive administrative support to the designated Executives, Directors, and/or the Department team members, including those who may require proactive executive assistant support.

Responsibilities

Perform designated executive support duties requiring judgment, initiative, and knowledge of office functions for the designated executive(s)/ director(s). Responsible for providing excellent quality service and maintaining excellent working relationships for internal and external customers. This may include such duties as:

  • Schedule internal and external meetings/events and appointments via Outlook for leaders as requested (includes scheduling, room reservations, equipment set up and catering orders). Proactive maintenance of calendars.
  • Prepare, compose, and type letters/memos/emails, graphs, charts, studies, presentations, miscellaneous reports, and research for assigned leader.
  • Prepare and distribute meeting agendas and materials and attend meetings and take minutes as assigned. Transcribe minutes with appropriate follow-up on action items.
  • Screen and direct telephone calls, mail, and email to the appropriate person within the organization. Obtain appropriate signatures as needed and requested on documents/contracts/agreements.
  • Make purchase orders as needed, reconcile company credit card, allocate purchases to appropriate budget cost centers, create expense reports and help others troubleshoot fiscal processes.
Qualifications
  • Bachelor's degree in related field; experience will be considered in lieu of educational requirement
  • 4+ years of administrative/secretarial experience including previous executive level experience
  • Ability to maintain confidentiality
  • Attention to detail
  • Strong critical thinking skills
  • Proficient and highly literate in common computer applications including Internet research, MS Office (Word, Excel, PowerPoint, and Outlook)
  • Demonstrated calendar management skills, including the coordination of complex meetings
  • Minute taking experience preferred, and excellent editorial/proofreading ability needed
  • Ability to interact with people at all levels inside and outside the organization
  • Ability to work self-sufficiently and prioritize workload to complete tasks and projects with minimal direction to achieve accomplishments
  • Ability to adapt to change, adjust responses accordingly and initiate steps to maximize resources toward a common goal
  • Professional demeanor and ability to defuse situations in a calm demeanor
  • Must be flexible and maintain ability to occasionally work under tight deadlines
  • Knowledge of managed care, insurance, or medical terminology is preferred
  • Excellent oral and written communication skills

This position can work in a hybrid or full-time on-site arrangement from our Madison, WI office. Hardware and equipment will be provided by the company, but candidates must have access to high-speed, non-satellite Internet to successfully work from home.
