Job Title: Pharmacy Procurement Specialist

Work Schedule: Monday- Friday 40 hours

What you will do:

The Pharmacy Procurement Specialist oversees and maintains all procurement functions within the pharmacy in accordance with established policies and procedures. Maintains contact with vendors and other CHHS staff to identify pharmaceutical needs and maintains adequate inventories.

Responsibilities:

* Exhibits guiding behaviors that reflect Children's values and support our mission and vision.
* Orders pharmaceuticals, supplies, forms, office supplies and ancillary items as needed for pharmacy operations and for meeting patient, clinic and other customer demands. Orders medications on the proper accounts to maintain compliance with regulatory bodies and the programs the organization participates in. Reconciles invoices against purchase orders. Rectifies discrepancies in quality, quantity, and/or price with vendor. Verifies ordered items and prices against the negotiated contract.
* Identifies best prices of pharmaceuticals and procures the most cost-effective products through the use of contracted suppliers and 340B program. Serves as a resource to pharmacists and individuals on drug/item availability, price, packaging and vendor options. Maintains open and clear communication with the drug wholesalers, Pharmacists, and other department/hospitals employees. Facilitates routine business reviews with key vendors to ensure timely procurement of pharmaceuticals.
* Maintains pharmaceutical and supply inventories at optimal levels. Acts quickly to prevent and/or manage supply problems. Notifies Pharmacy Operations Manager and other pharmacy leaders of known backorder situations and assists with solutions to shortages.
* Ensures proper storage of all pharmaceuticals are in compliance with manufacturers, and OSHA regulations.
* For the hospital and mixed use setting, is responsible for ordering 340B eligible drugs through the use of split-billing software. Helps ensure general compliance with 340B Drug Program from a purchasing aspect.
* Oversees the ordering of items obtained from the CHW warehouse.
* Reconciles invoices against purchase orders. Rectifies discrepancies in quality or price with vendor.
* Assists in checking shelves and clinics for drug recalls. Removes recalled drugs, files paperwork, and sends back recalled items to manufacturer for credit. Follow up on drug recall updates and alerts.
* Removes outdated drugs. Works with reverse distributor for credit or destruction for outdated and damaged drugs. Verifies credit payments as predicted by reverse distributor.
* Coordinates special deliveries and stock replacement for all ancillary areas.
* In the retail setting, assists patients, parents and/or insurance companies with specific questions until resolutions are met. Advises account holder and insurance companies on the billing policies and procedures. Analyzes and investigates insurance denials and submits written correspondence and resubmits claims in a timely manner. Acts as a resource for prior authorizations and benefits investigations.
* Assists and/or conducts annual physical inventory count and summary reporting to Pharmacy Management team.
* Maintains an organized system for purchase orders, special order items and invoice management
* Performs other duties as assigned.

What you will need:

  • High school diploma or equivalent required

  • Requires 6 months' pharmacy experience in a retail or hospital setting or inventory management

  • Must be a registered pharmacy technician in the State of Wisconsin prior to starting

  • Graduate of a pharmacy tech program preferred

  • Hospital or retail pharmacy experience preferred, depending on where this job will be located.

  • Requires advanced planning and organizational ability with analytical and negotiation skills.

  • Must have excellent interpersonal communication skills necessary to work with vendors, CHHS leaders, staff, physicians and sales representatives.

  • Must possess a strong sense of personal accountability, service orientation and responsiveness to the request of customers.

  • Intermediate computer skills and knowledge of Windows based software including Outlook, Excel and Word.

  • Ability to pay close attention to detail combined with the ability to work independently and with limited direct supervision.
